EU AI Act & AI literacy in practice

“AI literacy” is not a one‑off document. What matters is ongoing evidence: who was trained, what content they saw, and when they acknowledged your policy (ACK). This page is a practical checklist for companies 20–300 in the EU.

AI literacy checklist

  • Roles: define who needs what level of training (HR, Sales, Finance, Ops, IT/Sec).
  • Content: allowed vs prohibited use, data handling, prompt hygiene, incident reporting.
  • Evidence: completion timestamps, attempts/completions, policy version acknowledged.
  • Refresh: re‑acknowledgement on policy changes and periodic refresh.

What you typically need to prove

Training evidence

  • who completed training and when
  • what training version/content was assigned
  • results (if you use a quiz)

Policy & ACK

  • policy version history
  • who acknowledged which version (ACK)
  • audit trail of changes

AI tools inventory

  • tools used (ChatGPT, Copilot, etc.)
  • owner, purpose, data types
  • status / approval decision

A simple 30‑day plan

  1. Week 1: kickoff, scope, roles, draft policy baseline
  2. Week 2: publish policy, collect ACK, launch AI literacy training
  3. Week 3: inventory of tools + owners, baseline risk self‑assessment
  4. Week 4: evidence export (Evidence Pack), finalize documentation for audits/questionnaires

FAQ

Is this legal advice?

No. We provide software and evidence for running governance. Legal interpretation is on your side.

Do you store employee PII?

Default is pii‑minimized; exports use pseudonymized identifiers.

Can we preview the Evidence Pack structure?

Yes. Evidence Pack preview is shared on request rather than as a public ZIP. You can request the structure/preview. The preview shows how policy, ACK, AI literacy evidence, inventory, risk baseline and audit trail can support AI/security questionnaires.
